This Privacy Policy describes how LightCalc ("we", "us", or "our") collects, uses, and protects personal data in connection with our web application at lightcalc.io and our iOS mobile application ("App"), collectively the "Services".

We process personal data only to the extent necessary and in compliance with Regulation (EU) 2016/679 (General Data Protection Regulation, "GDPR") and applicable Austrian data protection law. "Processing" within the meaning of Art. 4 No. 1 GDPR refers to any operation performed on personal data, whether or not by automated means.

2. Data We Collect and Why

2.1 Account Data

When you register, we collect your email address and, optionally, a display name. This data is necessary to create and manage your account, authenticate you, and communicate with you about your subscription or purchases.

2.2 Payment Data

For web purchases (LightCalc Pro one-time purchase and LightCalc Plus subscription), payment is processed by Stripe, Inc. We do not store your full card details on our servers. We retain transaction identifiers, purchase dates, and subscription status to manage your account access.

For iOS in-app purchases, payment is processed entirely by Apple Inc. via the App Store. We receive confirmation of a purchase and subscription status from Apple but do not receive payment card details.

2.3 User Content and Project Data

LightCalc allows you to create, save, and manage lighting calculation projects. The content of these projects (fixture configurations, scene data, notes) is stored on our servers to provide the service. This data belongs to you and is processed on your behalf.

2.4 Usage and Technical Data

When you use our web application or iOS app, we and our service providers may automatically collect technical information including: IP address, browser type and version, operating system, device type, referring URL, pages visited, and timestamps. This information is used to maintain the security and performance of our Services.

2.5 Analytics Data

We use Plausible Analytics to understand how our web application is used and to improve our Services. Plausible is a privacy-first analytics tool: it does not use cookies, does not store personal data or IP addresses, and is fully cookieless. All analytics data is anonymised and aggregated. Plausible infrastructure is hosted in the EU (Frankfurt, Germany). Because no personal data is collected, no opt-out mechanism is required or provided for analytics.

Legal basis: Art. 6 para. 1 lit. f) GDPR (legitimate interest in improving our Services). No consent is required as no personal data is processed.

2.6 Communications

If you contact us by email, we process your email address and the content of your message to respond to your inquiry. We may also send you transactional emails (order confirmations, receipts, account notifications) and, where you have opted in, product news and updates.

3. Third-Party Service Providers

We use the following third-party service providers to operate our Services. Each processes data as a data processor acting on our instructions, or as an independent data controller for their own services.

Supabase

We use Supabase to store account data, authentication tokens, and project data. Supabase servers are hosted within the EU (Europe West region). Supabase acts as our data processor under a Data Processing Agreement.

Stripe

Stripe processes payments for web purchases. Processed data types include inventory data (name, email), payment data (bank/card details, transaction history), and contract data (purchase type, subscription status).

Apple Inc. (iOS App Store)

For users of the LightCalc iOS app, payments are processed by Apple via the App Store. Apple acts as an independent data controller for payment processing. We receive only confirmation of purchase and subscription status.

Plausible Analytics

We use Plausible Analytics for privacy-preserving usage statistics. Plausible collects no personal data, uses no cookies, and stores no IP addresses. All data is aggregated and anonymised. Servers are located in the EU.

Google LLC (Fonts)

Our web application may load fonts from Google Fonts, which may result in a connection to Google servers and transmission of your IP address. The legal basis is our legitimate interest in the visual presentation of our Services (Art. 6 para. 1 lit. f) GDPR).

4. International Data Transfers

Some of our service providers are located or process data outside the European Economic Area (EEA), in particular in the United States. We ensure that such transfers are covered by appropriate safeguards, specifically:

  • The EU-US Data Privacy Framework (DPF), where the recipient is certified; and/or
  • Standard Contractual Clauses (SCCs) adopted by the European Commission (Decision (EU) 2021/914).

5. Data Retention

We retain personal data only for as long as necessary for the purposes described in this policy, or as required by law:

  • Account and project data: Retained for the duration of your account. If you delete your account, we will delete your personal data within 30 days, unless we are required to retain it for legal or tax purposes.
  • Transaction records: Retained for 7 years to comply with Austrian tax and accounting obligations (§ 132 BAO).
  • Analytics data: Retained by Google Analytics for up to 14 months (anonymised aggregates may be kept longer).
  • Support communications: Retained for up to 3 years after the last interaction, unless a longer retention is required by law.

6. Cookies and Similar Technologies

a) Strictly necessary cookies

We use session cookies and local storage to authenticate you and maintain your session. These are strictly necessary for the operation of the Services and do not require your consent (Art. 6 para. 1 lit. b) GDPR).

b) Analytics

We use Plausible Analytics, which is fully cookieless and does not set any cookies on your device. No consent is required for analytics.

c) Disabling cookies

You can restrict or delete cookies via your browser settings. Disabling strictly necessary cookies may prevent the Services from functioning correctly.

d) iOS App

The iOS app does not use browser cookies. It may use device identifiers and local storage to maintain your session and preferences. No advertising identifiers (IDFA) are used without your explicit permission.

7. Your Rights as a Data Subject

Under the GDPR, you have the following rights regarding your personal data:

  • Right of access (Art. 15 GDPR): You may request confirmation of whether we process data about you, and obtain a copy of that data.
  • Right to rectification (Art. 16 GDPR): You may request correction of inaccurate or completion of incomplete data.
  • Right to erasure (Art. 17 GDPR): You may request deletion of your data where no longer necessary, unlawfully processed, or where you withdraw consent (where processing was based on consent).
  • Right to restriction (Art. 18 GDPR): You may request that we restrict processing in certain circumstances (e.g., while accuracy is contested).
  • Right to data portability (Art. 20 GDPR): You may receive your data in a structured, commonly used, machine-readable format and transmit it to another controller, where technically feasible.
  • Right to object (Art. 21 GDPR): Where processing is based on legitimate interests (Art. 6 para. 1 lit. f) GDPR), you may object at any time on grounds relating to your particular situation. We will cease processing unless we demonstrate compelling legitimate grounds.
  • Right to withdraw consent (Art. 7 para. 3 GDPR): Where processing is based on your consent, you may withdraw it at any time. Withdrawal does not affect the lawfulness of processing before withdrawal.
  • Right to lodge a complaint (Art. 77 GDPR): You may lodge a complaint with the supervisory authority:

8. Children's Privacy

Our Services are not directed at children under the age of 16. We do not knowingly collect personal data from children. If you are a parent or guardian and believe your child has provided us with personal data, please contact us at support@lightcalc.io and we will delete it promptly.

9. Updates to This Policy

We may update this Privacy Policy from time to time. Material changes will be notified to registered users by email at least 14 days before taking effect. The current version is always available at lightcalc.io/privacy-policy. Continued use of the Services after the effective date constitutes acceptance of the updated policy.
